IT Asset Inventory Reconciliation

Service Description: Our IT Asset Inventory Reconciliation service assists San Antonio College in maintaining accurate and up-to-date records of all physical IT equipment across campus locations. From classrooms and labs to administrative offices and support facilities, we assist with making sure that every piece of IT hardware is accounted for, properly documented, and aligned with inventory records.  Alamo Colleges uses Wisetrack as our District -Wide Inventory management System.

Every employee should take reasonable steps to safeguard college property from theft, loss or damage.

Eligibility: Staff, Faculty

Availability:
Monday-Friday 8:00 a.m. - 5:00 p.m., excluding college holidays and closures.

How to access services (Procedures if Any):
1. A designated Property Steward or Property Assistant for each College Department will run Wisetrack Inventory reports.
2. Collaborate with departmental staff and faculty to identify and account for all assets within their area.
3. If assistance from OTS is required, please submit a work order through FootPrints.

Additional Information:  
A Campus-Wide Physical Inventory is conducted once a year by District Inventory of desktops, laptops, tablets, servers, network devices, printers, and audiovisual equipment across all departments and buildings. Participation in the annual physical inventory process is required by Alamo Colleges District (ACD) Asset Management Office. All employees should bring in all tagged assets to work to get the item reconciled during the scheduled inventory for San Antonio College.

Record Reconciliation: Cross-checking physical assets with internal inventory systems (Wisetrack) to identify missing, outdated, duplicated, or untracked equipment. To report lost or stolen assets, contact the Alamo Colleges Police Department's non-emergency number 210-485-0099. You will need to provide the asset tag number, serial number and cost of the asset. This information can be retrieved by the Property Steward or Assistant for your department. Case number provided by the officer should be provided to the Property Steward or Assistant in your department. Property Steward or the Assistant will then notify District Inventory and the Office of Technology Services (OTS).
