Disposal of Alamo Colleges Property (Technology)

Service Description:
The Office of Technology Services (OTS) Asset Management Team will assist with proper disposal of hardware equipment at San Antonio College. As equipment becomes obsolete or surplus, it must be physically removed from its location. Each department "Property Steward," or the employee having possession of the property and having the authority to request a transfer or disposal ("disposition"), must complete a Surplus Request Form via Sharepoint. Please see the classifications below for obsolete and surplus hardware equipment.

Classification/Status of Equipment:

Unusable Equipment: Equipment that is unfit for continued use because it is either broken or is obsolete, which cannot support current standard computer applications or operating systems. Equipment deemed "unusable" is picked up by an "Asset Recovery Service" provider in accordance with Alamo Colleges' Purchasing Department policies and procedures.

Usable Equipment: Equipment that is surplus (not necessary to meet a department's needs) and which is fully functional is transferred to OTS and is "re-imaged" prior to reallocating to other SAC departments for their use.

Monday - Friday, 8:00a.m.- 5:00 p.m. excluding college holidays.

How to access services (Procedures if Any):

If you have an immediate need to transfer property within the institution or to dispose/sell surplus property you should follow these steps:

 

Transfer/Move Property within the Institution

A Property Transfer Form is required when transferring/moving property:

    Move the property and submit a signed Property Transfer Form to Inventory Control via email to DST-TeamInventory@alamo.edu.  
    Location Change - For property (within the same department) relocated to storage or moved from one building/room to another; or
    Transfer Between Departments - For property moved to a different department or campus including approved Alamo Colleges’ satellite sites.
    Contact Purchasing & Contract Administration to purchase moving services
     (if needed).

 

Disposal/Sale of Surplus Property

Property that has outlasted its effective usefulness or is considered beyond economical repair with no further utility value to Alamo Colleges can be disposed of as waste:

    Submit a signed Property Transfer Form to Purchasing & Contract Administration (for disposal, trade-in or sale) after obtaining approval from your Vice President of College Services or District official, via email to dst-transfersurplus@alamo.edu

    Purchasing & Contract Administration Department provides guidance for disposal and forwards the completed Property Transfer Form to Inventory Control. 

  Property that is obsolete, unused, not needed, or ineffective for current use can be used as a trade-in or sold:

    Submit a signed Property Transfer Form to Purchasing & Contract Administration (for disposal, trade-in or sale) after obtaining approval from your Vice President of College Services or District official, via email to dst-transfersurplus@alamo.edu

Trade-In - Identify the surplus property on the purchase requisition and a pickup will be scheduled with delivery of the new item; or
Sale - Purchasing & Contract Administration notifies the contractor to remove and sell the property.

    Purchasing & Contract Administration forwards the completed Property Transfer Form to Inventory Control.
